Privacy Policy

This Privacy Policy explains how Cohency("we," "us," or "our") collects, uses, and protects information through this website and through the automation and data platform we build and operate for our business clients (each, a "Client").

1. Information We Collect

From this website. The contact form on this site collects your name, email address, business name, and message. Submitting the form opens a pre-filled email in your own email client addressed to hello@cohency.com -- the message goes directly to our inbox the same way any email does. We do not store form submissions on a server, and this site does not use cookies or any analytics/tracking scripts (see Section 3).

On behalf of Clients.When a business uses our platform, we process data that Client imports or connects in order to provide the service -- which may include that Client's own customers' names, phone numbers, email addresses, transaction history, and communication preferences. We process this data only on the Client's behalf and instruction, as a service provider to that Client, not as data we collect directly from those individuals ourselves.

2. How We Use Information

  • To respond to inquiries submitted through this website.
  • To operate, maintain, and improve the platform on behalf of our Clients.
  • To send SMS text messages, but only to an individual who has given consent to receive them -- see Section 4.
  • To comply with legal obligations.

3. Cookies & Analytics

This website does not currently use cookies, web beacons, or third-party analytics or advertising trackers of any kind. If that changes, this section will be updated first, and we will request consent where required by law before any such technology is active.

4. SMS / Text Messaging Program

Our platform can send SMS text messages on a Client's behalf -- for example, a payment reminder tied to a specific transaction. The following applies to that program:

  • Consent. We only send SMS messages to a phone number after consent has been recorded for that specific individual. Consent is not inferred from having a phone number on file, and is not a condition of purchasing any goods or services from a Client.
  • Message types & frequency. Messages are transactional, tied to a specific interaction with the Client (e.g. a payment or order reminder), not recurring marketing content. Frequency varies by transaction and is not fixed.
  • Message and data rates may apply, depending on your mobile carrier and plan.
  • Opting out. You may withdraw consent at any time by contacting the Client directly or hello@cohency.com. Automatic reply-based opt-out (texting STOP) is planned but not yet active on every number; until it is, every opt-out request is handled manually and confirmed back to you.
  • No third-party marketing use. We do not sell or share phone numbers or SMS consent records with third parties for their own marketing purposes.

5. Third-Party Service Providers

We use the following categories of service providers to operate the platform, each of which processes data solely to provide the underlying service, under their own privacy terms:

  • SMS delivery (Twilio, Inc.)
  • AI-assisted features within the platform (Anthropic)
  • Infrastructure and hosting (DigitalOcean)

6. Data Security

Client credentials and API keys are encrypted at rest. Every Client's data is isolated from every other Client's at the database level. We use reasonable administrative and technical safeguards appropriate to the sensitivity of the data we handle, but no method of storage or transmission is 100% secure, and we cannot guarantee absolute security.

7. Data Retention

We retain Client and end-customer data for as long as needed to provide the service to that Client, or as required by law. A Client may request deletion of data at any time by contacting us.

8. Your Choices

If you have received an SMS message from a business using our platform, you can withdraw consent at any time (see Section 4). If you'd like to request access to, or deletion of, data associated with you, contact us at hello@cohency.com or reach out to the specific business you interacted with -- we process that data on their behalf.

9. Children's Privacy

This website and platform are not directed at children under 13, and we do not knowingly collect information from them.

10. Changes to This Policy

We may update this policy as the business and platform evolve. The "Last updated" date at the top of this page reflects the most recent revision.
